EXCOM APPROVES PLAN FOR JOINT REGIONAL GATHERINGS

EXCOM APPROVES PLAN FOR JOINT REGIONAL GATHERINGS EACH AUGUST ROTATING
ANNUALLY FROM BIRMINGHAM TO HUNTSVILLE.

The general discussion was 23 August, 2008 at the home of Kelly Morger and Ulf Lindstrom in Madison, AL.

After a 90 minute discussion, the attendees from both groups agreed that they would like the two Mensa groups to work together to produce an August RG, with the location and major responsibility alternating annually. They also agreed that Birmingham would be first, and that group would begin planning for an August 2009 RG in Birmingham, subject to the final approval of each group's executive committee. The North Alabama ExCom approved the outline at an electronic meeting centered on September 11.  Contact the LocSec for detailed minutes of the August 23 discussion.

These people must be local to the RG location city: General Chair, Hotel Liaison, and one key hospitality person. Core hospitality comes from the city putting on the RG. The other group's corresponding position will "shadow" the primary people. In other areas, people from the second city may serve as primaries. For the following year's RG in the other locations, the roles will be reversed.

Communication and planning will be between two "RG Committees" from the two Mensa groups. These will communicate via email and Skype, and meet as required prior to the event.

The North Alabama RG committee will choose its own chairs and key players. Central Alabama Mensa bylaws require ExCom to approve the RG chair(s), the treasurer, the budget, and the hotel contract. Travis agreed that Huntsville should follow that policy, though it has not been discussed.

We always have a good number of people volunteer to help with the details as the event nears. Keep up the good work and enthusiasm.
